A rent budget and a move-in budget are two different numbers. One tells you what the apartment costs over time. The other tells you how much cash you need before you can settle in. Get both before applying, especially if you are moving between leases.
Ask for a dated cash-to-keys worksheet
Request every amount due at application, approval, lease signing and move-in. Include rent or prorated rent, any prepaid rent, deposits and nonrefundable fees. Ask which payments have already been credited and whether any amounts change with approval conditions. Do not assume first month, last month and a full month’s deposit are required at every property. Keep refundable money separate
A refundable deposit still ties up cash, but it is not the same as a fee you will not recover. Record the stated refund conditions and who receives the payment. If offered a deposit alternative, ask whether its charge is refundable, whether it recurs and what obligations remain. Compare the written terms instead of assuming a smaller upfront payment means a lower total cost.
Use an example, not a market estimate
Suppose a written quote requires $2,500 in initial rent, a $1,000 refundable deposit and $300 in nonrefundable fees. Cash due to the property would be $3,800 before moving expenses. The deposit is tracked separately from lease expense. This example is hypothetical and does not say what any Miami building will require. If the quote also requires prepaid rent, include that in cash due without adding it again to total lease rent.
Budget outside the leasing office
Include movers, packing, transport, utility setup, any lease overlap and the cost of reaching the building’s loading area. Ask about elevator reservations and any required mover documentation. Fannie Mae’s cost guide also identifies moving and setup expenses. Use actual quotes for your move, not a fixed multiplier of monthly rent.
Check the timing of specials
Ask whether a concession reduces the amount due before move-in or appears as a later rent credit. A later credit will not pay today’s moving bill. Save the offer, payment instructions and receipts. If an amount or recipient changes unexpectedly, verify through a contact channel you already trust before sending money. Keep enough room in the budget for expenses not included in the lease quote.
